Managing reports

A report isn’t a one-off. You run it, run it again next month, and watch what moved. This page covers the report list — where every audit lives — and the actions you take from each report’s menu.

The report list

The report list with owner filters, search, and per-report status

Every report your organization has run shows up here, newest first, each with a status badge. Three tools keep the list manageable:

  • Owner filters — the pills at the top narrow the list to All, Private (only yours), or Shared (visible to the org). Admins see all three; the set you see depends on your role.
  • Search — filter by brand name or domain.
  • Sort — order by date or name.

Reruns of the same audit group together as versions of one report, so the list stays one row per audit rather than one row per run.

Rerunning an audit

The answer engine’s view of you shifts as content gets published and pages change. Rerunning the same audit later is how you see whether your work moved anything. From a completed report’s menu, open Rerun settings to run it again and to control how it repeats.

Each rerun is filed as the next version of the report, ready to compare with an earlier run. The panel shows the report, its last run date, and the credits needed for the next run. If you don’t want to wait for the next scheduled run, Rerun now starts one immediately when it’s available.

Recurring reports

Rather than remembering to rerun by hand, turn on Automatic schedule in the same panel. Choose the interval — days, weeks, or months — and Palmata rebuilds the audit on that cadence, with each run filed as the next version. Turn the schedule off to stop it. A recurring run spends credits like any other build.

Comparing to a previous run

Once an audit has more than one version, open the date in the report header to choose which run you are Viewing and which earlier run to Compare against. See Comparing versions for the complete workflow and how to read changes across topics, prompts, sources, and actions.

Sharing and archiving

The same report menu lets admins Share with org (or Make private again) and Archive a report you’re done with. Sharing controls who in your organization can open it; archiving tidies the list without deleting the run.

Losing access

If a report is made private or you’re removed from its organization, you lose access to it. Opening a report you can no longer see shows an access screen rather than the report — it isn’t an error, just a sign your access changed.
